Controller and contact
The data controller for Web Pilot — Nordhouse Digital is NORDHAUS sp. z o.o., Aleja Niepodległości 235/237 lok. 7, 02-009 Warsaw, Poland. KRS 0001164871, NIP 7011254067. For privacy requests: webpilot.nordhaus@gmail.com.
Enquiries and correspondence
We use your name, email, chosen service and message to respond and prepare a proposal. Pre-contractual steps rely on Article 6(1)(b) GDPR. Communication with company representatives and other correspondence relies on our legitimate interest in communication, Article 6(1)(f). Providing details is voluntary, but we need a contact address to reply. The form does not subscribe you to a newsletter.
Chat Pilot
You voluntarily send messages for help choosing a service. Replies are prepared on our server, including by a local AI model when available. We do not store conversation content in the server database. History stays in this browser tab’s session storage and can be cleared. Do not send sensitive data. The assistant does not make decisions with legal effects. A person confirms prices and terms.
Recipients and infrastructure
Form enquiries enter a separate Web Pilot system accessible to authorised people. Contabo provides hosting. Google provides Gmail email services. When handling email, Google may process data outside the EEA under its privacy policy and applicable transfer mechanisms. Form contents are not sent to advertising systems. Fonts and images are served from our own server.
Retention
We keep enquiries while handling the matter, then review the need for further retention every 12 months. Contract-related data is kept for performance and subsequently for statutory duties or legal claims. Website backups rotate over 14 days. Technical abuse-limiting records are removed after 24 hours. Chat history ends with the tab session or when you clear the conversation.
Security and rights
Short-lived technical identifiers and request limits protect the service under our legitimate interest, Article 6(1)(f) GDPR. Subject to GDPR, you may request access, rectification, deletion, restriction or portability and object to processing. Contact us by email. You may complain to Poland’s data protection authority, the President of UODO, at uodo.gov.pl.
Optional analytics
With your consent (Article 6(1)(a) GDPR), we enable Google Analytics 4, provided in the EEA by Google Ireland Limited. We measure visits, service selection, form starts, successful submissions and chat use. We do not send your name, email address, form text or conversation content to Analytics. Google receives technical browser and event data, including the IP address needed for communication. Data may be processed outside the EEA under the terms and safeguards described by Google. Advertising features are disabled. You can withdraw consent through the privacy settings in the footer; this does not affect the lawfulness of earlier processing. Refusing analytics does not restrict the form or chat.
